Start with the shift you want to improve.
The best fit depends on where your store loses time today. A crowded pickup queue, unreliable stock picture, and a difficult cash close need different demonstrations. Choose the work that matters most, then ask every provider to show the same scenarios.
- List your must-haves before watching a demo: locations, service channels, equipment, reporting, and integrations.
- Bring a budtender, inventory lead, and manager into the evaluation.
- Separate a required launch capability from an improvement you can adopt later.
Compare the workflow, not the checkbox.
A feature name does not show how well the work holds together. Ask to see an ordinary task, an exception, and the record left behind. Use the same questions for Blackleaf and every other system you consider.
| Area | Ask to see | Look for |
|---|---|---|
| Checkout | Walk-in, pickup arrival, interrupted payment, and return. | Clear ownership and no duplicate sale on retry. |
| Inventory | Partial delivery, held stock, and a count mismatch. | Sellable quantity and a traceable movement history. |
| Marketing | Offer, eligible audience, purchase, and campaign result. | Stock-aware terms, contact eligibility, and a defined attribution method. |
| Reporting | One store and the same dates across several stores. | Consistent definitions and access to the underlying records. |
| Operations | Staff access, a manager approval, and an outage. | Defined authority, support ownership, and demonstrated recovery. |
Compare the full cost of running the store.
Put the subscription beside hardware, additional stations, messaging usage, payment charges, migration, training, and contract terms. Compare the same number of stores and stations over the same period. Record any quoted items rather than treating an unknown cost as zero.
- Confirm whether hardware is purchased, leased, or supplied under service terms.
- Separate setup costs from recurring charges and usage estimates.
- Ask about data exports, cancellation, equipment returns, and the cost of adding a location.
Know what has been demonstrated.
Blackleaf publishes this guide as a POS provider. Our public app demonstrates connected workflows with sample data; it does not prove live payment processing, a production Metrc connection, or every planned automation. Ask each provider for dated evidence, a written scope, and references relevant to your operation.
- Use clear statuses: available, demonstrated in preview, planned, or not confirmed.
- Record the source and review date for each comparison.
- Rehearse the must-have workflows before agreeing a switch.
Questions worth asking.
Clear answers for planning your store’s next step.
How should I compare dispensary POS systems?
Start with your required store workflows, locations, equipment, and connections. Ask each provider to demonstrate the same sale, return, receiving, stock correction, and outage scenarios. Compare written scope and total costs, and record whether each capability is available, shown only in a preview, planned, or unconfirmed. Blackleaf publishes a downloadable worksheet for these evaluations.
Should I replace my POS just to improve customer texting?
Not necessarily. If messaging is the immediate need, evaluate Blackleaf’s separate texting product against the data access and supported connection available from your current POS. A full POS change should also be justified by checkout, inventory, reporting, service, and migration requirements.
Can our technical team connect other software?
Documented POS interfaces, customer-authorized integrations, and data exports are core roadmap requirements. Review the actual available operations, permissions, event delivery, limits, and fees with Blackleaf before committing to an integration. The existing public Blackleaf messaging API should not be assumed to expose the developing POS functions.
